The setup
A 2-truck Dallas plumber had built a specialty in residential water-heater replacements — tank, tankless, and the emerging heat-pump category. The technical work was excellent, the techs knew water heaters cold, and Google reviews were 4.8 from 180+ reviews. But the close rate on $7K–$9K replacement quotes was stuck at 32%.
The pattern the owner kept seeing: tech diagnoses the failed tank, writes a price on a notepad, says “I’ll email a formal quote tomorrow.” Homeowner doesn’t read the quote until Friday, gets a competitor’s quote on Monday, and either the cheaper option wins or the homeowner stalls another week (which is bad — the homeowner is heating water at the in-laws by then).
What changed
The shop adopted two snapshot workflows together:

The heat-pump close-rate jump was the surprise. With the rebate-lookup widget embedded in the quote PDF, homeowners could see federal + state + utility rebates on a heat-pump WH installation within 30 seconds of opening the quote. The “your effective net cost is $4,100 after rebates” line changed buying decisions.
Why this worked
The quote-to-close gap kills $7K+ residential plumbing jobs. The homeowner is emotionally engaged when the tech is on-site — the cold-water shower is fresh in memory. Twelve hours later, the urgency fades. The shop that closes at the kitchen table wins. The shop that closes “by email tomorrow” usually loses.
What didn’t change
The shop kept their existing Square invoicing flow and QuickBooks integration. The snapshot’s quote PDF + financing flow handled everything pre-close; once the homeowner approved, the workflow auto-created a Square invoice with payment terms and a QuickBooks customer record.
